Olympia Premier League (“OPL,” “we,” “us,” or “our”) is a 501(c)(3) nonprofit community sports organization serving Olympia, Tumwater, Lacey, and Thurston County, Washington. This Privacy Policy explains what personal information we collect through oplsports.org and our related registration, notification, and donation programs, how we use it, and the choices you have.
Information We Collect
We collect information you provide directly to us, including:
- League registration: first and last name, email address, phone number, date of birth, gender, city, sport and skill level, shirt size, emergency contact name and phone number, and an electronic signature on our participant waiver.
- Contact form submissions: name, email address, optional phone number, subject, and message content.
- SMS / WhatsApp and email opt-ins: your name, phone number and/or email address, and the sports, teams, or players you choose to follow, when you subscribe to match-day reminders, schedule updates, or league announcements.
- Push notifications: a browser-generated subscription endpoint, used only to deliver notifications you've opted into on this device.
- Donations: donations are processed through Zelle directly between your bank and OPL's account; we do not collect or store your banking credentials or card numbers. If you email us for a tax receipt, we retain your name, email, and donation amount for record-keeping.
- Usage data: basic, non-invasive analytics (pages viewed, links clicked, general device/browser type) collected automatically to help us understand how the site is used. On our public pages we also use Google Analytics, which sets cookies to measure visits and how people found us. We do not send Google your name, email, phone number, or registration details, and Google Analytics is not loaded on player, team, account, or registration-update pages.
How We Use Your Information
- To process league registrations and administer teams, schedules, and results.
- To send SMS (WhatsApp), email, and push notifications you've opted into, such as match reminders, schedule changes, and league announcements.
- To respond to inquiries submitted through our contact form.
- To issue donation acknowledgment letters for tax purposes.
- To maintain the safety of participants, including using emergency contact details.
- To improve our website, programs, and communications.
- To comply with legal, tax, and nonprofit reporting obligations.
SMS & WhatsApp Opt-In Data
When you opt in to receive text or WhatsApp messages from OPL, we use your phone number solely to send you the notifications you requested (e.g., match reminders, schedule changes, league announcements). Consent to receive SMS/WhatsApp messages is never shared with any third party.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.
How We Share Information
We do not sell your personal information. We only share information with:
- Service providers who help us operate the site and send communications (e.g., our hosting provider and messaging/notification delivery services), solely to perform those services on our behalf.
- League volunteers and coordinators who need registration details to run teams and events.
- Authorities, when required by law or to protect the safety of participants.
Your Choices
- SMS/WhatsApp: reply STOP at any time to unsubscribe, or manage your channels and sports preferences on our Notification Preferences page.
- Email: every email includes an unsubscribe link.
- Analytics: turn on “Do Not Track” or Global Privacy Control in your browser and we will not record your visit in our own analytics or in Google Analytics.
- Push notifications: disable them anytime from the bell icon in the site header or your browser's notification settings.
- Access, correction, or deletion: email us at info@oplsports.org to review, correct, or request deletion of your personal information.
Children's Information
Some OPL programs, including youth scholarship registrations, involve participants under 18. Where a registrant is a minor, we require the consent of a parent or legal guardian, who submits the registration and waiver on the minor's behalf. We do not knowingly collect personal information directly from children without such consent.
Data Retention & Security
We retain registration and communication records for as long as needed to operate our leagues, meet nonprofit record-keeping requirements, and comply with the law, after which they are deleted or anonymized. We use reasonable administrative and technical safeguards to protect your information, but no online system can be guaranteed 100% secure.
Changes to This Policy
We may update this Privacy Policy from time to time. The “Last updated” date above reflects the most recent revision. Continued use of our site or programs after changes take effect constitutes acceptance of the updated policy.
